Operations Assistant

We are looking for Operations Assistants to help our clients support daily operations, stay organized, and keep internal processes running smoothly.

About the role

We are hiring a highly organized Operations Assistant to bring structure, momentum, and clear communication across a multi-department small-to-mid-size business (sales, installation, purchasing, service, vendors, leadership). This role is execution and coordination-focused: you'll maintain operations dashboards, coordinate jobs across departments, support customer/franchise communication, and provide day-to-day executive assistance to the CEO. Light bookkeeping support is included.

Key Responsibilities

  • Coordinate daily activity across sales, installation, purchasing, service, vendors, and leadership
  • Maintain a centralized operations dashboard: schedules, service issues, vendor updates, priorities, job statuses
  • Triage customer and franchise communications; respond when appropriate; ensure follow-through
  • Provide general administrative support, close cross-departmental loops, and standardize internal processes
  • Support the CEO with inbox triage, calendar management, deadline tracking, prioritization, and communication prep
  • Coordinate travel and light personal admin tasks
  • Provide light bookkeeping support: monthly reconciliations, sales tax tracking, basic financial organization

Required Qualifications

  • 3-5 years of proven experience as an Operations Specialist, Chief of Staff, Executive Assistant, or Startup Generalist
  • Strong organizational and project coordination skills across multiple workstreams
  • Proactive, resourceful, and comfortable working independently with minimal oversight
  • Excellent verbal and written communication across departments and stakeholders
  • Tech-savvy; comfortable learning dashboards, spreadsheets, and project management tools
  • Customer service mindset; ensures issues are followed through to completion
  • Basic familiarity with bookkeeping (or willingness to learn)
  • Fully fluent in English
  • Ability to commit long-term and full-time

Preferred Qualifications

  • Experience in field service, construction, franchise, or product-based businesses
  • Familiarity with operations dashboards (Airtable, Notion, ClickUp, Monday)
  • Light QuickBooks or Xero exposure
