Role Summary
We are hiring an Insurance Transactions Processor to serve as the operational backbone of an independent U.S. insurance agency. Speed and accuracy are the core of this role. You will process personal lines insurance documents end-to-end — applications, binders, endorsements, renewals, remarkets, cancellations, and mortgagee changes — while maintaining clean digital files and supporting the agency's Producers and Customer Service staff.
This role is back-office and processing-led. You earn your keep by clearing a high volume of transactions cleanly the first time and proactively communicating with staff and carriers to verify data when something looks off. Ideal candidates are fast, accurate, calm under volume, and energized by the rhythm of clean execution.
Key Responsibilities
Policy Processing
- Process applications, binders, endorsements, renewals, cancellations, and mortgagee changes across personal lines policies
- Ensure all changes are accurately documented and transmitted to the appropriate insurance carriers
- Handle remarkets: pull comparative quotes, prepare documentation, and route to Producers and CSRs for review
- Submit and follow up on documents required by underwriting
File Maintenance & Verification
- Check policy documents and submissions for errors, inconsistencies, and missing information; correct or escalate as appropriate
- Organize digital files and attach all supporting documentation to the corresponding records in the agency management system
- Maintain detailed transactional notes (activities, attachments, status updates) so any teammate can pick up a file mid-stream
- Audit recently processed transactions for accuracy and flag systemic issues
Internal and External Communication
- Proactively communicate with internal staff (Producers, CSRs, agency leadership) to confirm details and retrieve missing information
- Communicate directly with carriers to clarify underwriting questions, confirm receipt, and resolve discrepancies
- Coordinate mortgagee changes with lenders and loss-payee parties
- Provide timely status updates on in-flight transactions
Required Qualifications
- 2+ years of experience in an insurance processing, agency operations, or insurance back-office role
- Direct experience with personal lines insurance (auto, home, renters, umbrella, and related personal lines products), including processing applications, binders, endorsements, renewals, and mortgagee changes
- Hands-on experience with an agency management system (AMS360, Applied Epic, EZLynx, HawkSoft, QQCatalyst, or similar)
- Familiarity with carrier portals and standard personal lines carriers (Progressive, Travelers, Safeco, Nationwide, Liberty Mutual, or comparable)
- Demonstrated ability to combine speed and accuracy in a high-transaction-volume environment
- Strong attention to detail with a high standard for accuracy
- Strong critical thinking and problem-solving skills
- Excellent organizational and time-management skills; able to manage multiple tasks and assignments in parallel
- Strong interpersonal skills (oral and written)
- Ability to embrace change and work in a fast-paced environment
- Fully fluent in English
- Ability to work U.S. business hours (PT, CT, or ET)
- Ability to commit long-term and full-time
Preferred Qualifications
- Active Property & Casualty (P&C) insurance license, or willingness and ability to obtain one
- Experience at an independent insurance agency (vs. captive or direct writer)
- Multi-state personal lines processing experience
- Familiarity with comparative raters (EZLynx Rating, PL Rating, Quomation, or similar)
- Experience processing mortgagee changes and coordinating with lenders or loss payees
- Familiarity with insurance documentation standards (ACORD forms)
- Bachelor's degree or relevant industry coursework
