What We’re Looking For

We are looking for a highly detail-oriented Executive Operations Manager to serve as the operational right hand to the CEO across marketing, retail sales execution, and executive administration. This role blends strategic coordination with hands-on execution. The ideal candidate is equally comfortable trafficking marketing initiatives across multiple stakeholders as they are booking travel and managing billing details with precision.

This is a high-trust, high-visibility role that requires discretion, structure, and exceptional follow-through.

Responsibilities

Marketing Operations & Storytelling Alignment

  • Traffic marketing initiatives across PR, social media, CRM, wholesale, and agency partners
  • Maintain a master marketing calendar and launch tracker
  • Ensure alignment across messaging, campaign timelines, and deliverables
  • Prepare concise executive summaries for CEO review
  • Convert strategic direction into clear briefs for internal and external partners
  • Track campaign KPIs and ensure reporting is delivered on time
  • Identify gaps, overlaps, or inconsistencies in brand storytelling

Retail Sales & Order Management (US Market)

  • Manage incoming retailer orders from national and independent accounts
  • Oversee EDI systems and retailer portals
  • Coordinate invoicing and ensure billing accuracy
  • Track payment timelines and follow up on receivables
  • Liaise with fulfillment partners to confirm shipment timelines
  • Maintain retailer documentation and compliance requirements
  • Prepare sell-through and retail performance summaries

Financial & Billing Administration

  • Track agency invoices and marketing-related expenses
  • Coordinate with accounting on payments and documentation
  • Monitor marketing spend against budget allocations
  • Maintain organized financial documentation and records

Executive Support

  • Manage CEO calendar and scheduling
  • Book travel, flights, hotels, and transportation
  • Prepare meeting agendas and post-meeting summaries
  • Organize digital files and documentation systems
  • Support day-to-day administrative needs

Qualifications

  • 4 to 8 years in operations, marketing operations, sales operations, or executive support
  • Experience managing EDI systems and retailer invoicing strongly preferred
  • Strong project management skills
  • Excellent written communication and executive summary capabilities
  • Advanced organization and attention to detail
  • Experience working with agencies or cross-functional marketing teams
  • Fully fluent in English
  • Ability to commit long-term and full-time
