Role Summary

We are hiring an Executive Assistant / Operations & Paralegal Support professional to provide high-level organizational, operational, and legal-administrative support to senior leadership. You will help manage calendars, follow-ups, communication, documentation, corporate administration, and routine legal and governance processes while ensuring important commitments do not fall through the cracks.

This role is ideal for someone highly organized, independent, and comfortable deciding what requires attention in a fast-moving environment. This full-time remote role is open to candidates currently based in Europe only.

Key Responsibilities

Executive & Operational Support

  • Manage internal and external calendars and help prioritize important commitments
  • Track actions, deadlines, and follow-ups from meetings to ensure commitments are completed
  • Review meeting notes and identify items requiring further action
  • Monitor high volumes of Slack communication and flag mission-critical messages
  • Maintain organized and accessible digital files, documents, and internal records
  • Coordinate business travel and other business-related logistics
  • Build and improve simple systems that strengthen organization, accountability, and follow-through

Legal & Governance Support

  • Support the review and management of routine NDAs
  • Assist with NDA negotiations involving standard terms and recurring provisions
  • Support company secretarial and corporate governance administration
  • Maintain records and documentation required for English corporate governance requirements and investor agreements
  • Coordinate legal and governance follow-ups with internal and external stakeholders

Required Qualifications

  • Strong experience in executive assistance, operations, legal administration, paralegal work, or a combination of these areas
  • Previous exposure to NDAs, contracts, corporate governance, company secretarial work, or similar legal processes
  • Excellent written and spoken English
  • Exceptional organization and attention to detail
  • Strong judgment when prioritizing competing tasks, commitments, and messages
  • Confidence communicating professionally with external stakeholders
  • Ability to work independently, take ownership, and follow through without constant supervision
  • Comfort working in a fast-moving environment with multiple projects and priorities
  • Strong follow-through and a consistent approach to ensuring important tasks are completed
  • Ability to commit long-term and full-time
  • Must currently be based in Europe

Preferred Qualifications

  • Experience supporting senior executives or leadership teams
  • Familiarity with English corporate governance requirements
  • Experience maintaining corporate, legal, or investor-related records
  • Experience improving administrative or operational systems and processes

Tools & Technologies

  • Slack, Calendar and scheduling tools, Digital file and document management systems, NDA and contract documentation tools, Corporate governance and record-management systems
